Share a file in a workspace when you want your tutor to see it: a past paper, a photo of your notes, a revision plan. Files you share stay in the workspace for both of you.

1. Share a file

Open the workspace and select Share file (1) at the top. Choose one or more files.

A workspace page with Share file marked 1

While it uploads you'll see "Sharing…" with the file name, then "File shared." The file appears at the top of Files (1), and the timeline shows that you shared it.

2. Or drag files onto the page

On a computer, you can drag files from your desktop or folder anywhere onto the workspace page. The page shows "Drop to share with" and your tutor's name, with the types you can share. Let go to share them.

3. Check the file type

You can share photos (JPG, PNG, GIF), PDF, Word, Excel, PowerPoint, TXT, RTF, MP3, MP4, WAV and MOV files. Any other type is turned away with a message naming the file, and nothing is uploaded.

The message: notes.zip can't be shared (.zip files aren't accepted)

Very large files (over 25 MB) show a warning that they may fail to upload. If one fails, try a smaller version, such as a PDF instead of a scan.

4. Find a file

The Files card on the workspace page shows the latest files. Search by name (1), or filter (2) by All, Mine, your tutor, or Homework (files set with homework or handed in). Select See all files (3) for the full list.

The files page lists every file with its type, who shared it and when. Select a file name to open it. Use Search by file name (1) to find one.

Type part of a name and press Enter. Only matching files are listed.

5. Delete a file you shared

Select the bin next to a file you shared ((2) above). Files your tutor shared show "Only" and your tutor's name "can delete" instead (3).

You're asked to confirm. Deleting removes the file from the workspace and anywhere it was attached, such as a homework hand-in, for both of you. Select Delete file, or Keep file to stop. You'll see "File deleted."

Good to know

  • Files attached to a note or a hand-in also appear in the workspace's files.

  • Your tutor can't delete your files, and you can't delete theirs.

  • A new file can take a moment to show up in a search.
